If you are an employer and have a social security number fail verification, there could be many reasons. Ensure that you apply company policy consistently for this and similar issues. Taking action, such as firing or laying off, against an employee on this basis alone could violate state or local laws. Instead, you can do the following:
- Contact the employee if you can. If you are unable to make contact, document your efforts
- Correct any typographical errors and resubmit the forms.
- Try different versions of a name if it is hyphenated
- Ask the employee to check the social security card to see if it matches your employment records. Make any necessary corrections and resubmit.
- Document your efforts to obtain correct information from the employee.
- Submit Form W-2c if an incorrect Form W-2 has already been sent.
